The pipeline

Exclusive-use bookings are negotiated, not carted.

Every booking engine assumes select room, select dates, pay. That is not how a lodge sells a leadership offsite. Sole follows the shape the work actually has.

  1. Enquiry Arrives from your site, not an inbox
  2. Hold Pencil the dates, first or second option
  3. Proposal A live page, not a Word document
  4. Contract Accepted with a name, time and IP
  5. Deposit Card or bank transfer with a reference
  6. Planning Rooming, dietaries, run sheet
  7. Invoice Final numbers, final balance
The problem

You already know what this looks like.

The enquiry sits in an inbox until somebody remembers it. The property that replies first usually wins.

The proposal is a Word document. Version four is on somebody's desktop and nobody is sure which one was sent.

The rooming list is a spreadsheet that has been emailed back and forth eleven times. The dietaries are in a different thread.

The builder turns up on the Saturday of a wedding, because the maintenance notebook and the booking calendar have never met.

Bookings

Enquiry to invoice.

Interactive proposals

A branded page, not a PDF. Optional extras toggle and the total moves. You see when it was opened, and how often.

Holds that behave

First option, second option, third option. When a lower option wants to confirm, the first gets a deadline automatically.

Availability that cannot lie

Sell the whole property and every room blacks out. Sell one room and exclusive use is gone. Enforced in the database, not just the app.

Operations

The half of the job nobody sells software for.

The manager selling the place is also cleaning it, fixing it and rostering staff for it. All of that revolves around the same calendar.

Assets and issues

Every heat pump, spa pump and califont with its manual, warranty and service history. A housekeeper reports a fault in three taps with a photo.

Work orders and projects

Contractors get a link, no account. Budget against committed against spent, so you know the deck rebuild has $34,000 committed of $40,000.

Housekeeping and staff

Turnovers generate from departures. Rosters draft themselves from the booking. Certifications and compliance expire loudly, in advance.

The connection

Why it is one app and not two.

A separate maintenance tool cannot know about the wedding. These links are the entire argument.

When this happensSole does this
A booking departsGenerates the turnover task for every space
A booking is confirmedDrafts the roster from pax and the add-ons sold
An issue blocks a spaceBlocks it from sale and shows the reason on the calendar
A contractor is scheduledChecks the booking calendar and refuses to clash without an explicit acknowledgement
A project needs six weeksProposes windows with no confirmed bookings
An asset service falls dueDrafts a work order against the preferred supplier
A supplier's public liability lapsesBlocks them from being assigned new work
Built here

For New Zealand properties.

  • GST at 15 percent, stored exclusive, shown both ways. B2B proposals lead exclusive, weddings lead inclusive
  • Bank transfer is a first-class payment method with a generated reference, not an afterthought behind a card form
  • Dates are DD/MM/YYYY everywhere, because that is what your guests read
  • Compliance seeded with the real list: Building WOF, FENZ evacuation scheme, MPI food control plan, Taumata Arowai water registration, septic consent
  • Health and Safety at Work Act 2015 hazard and incident registers, because you are a PCBU
  • Privacy Act 2020 handling for dietaries and accessibility notes, which are health information
Pricing

One monthly fee per property.

Not a percentage of your bookings. You already own the relationship with your guests, and taking a cut of it would be hard to justify. Operations is a separate module you can add when you want it, because plenty of properties want the bookings side alone.

Exact pricing on request while we onboard our first properties.
